NomadxLabs ("Company," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use Wingman ("Service"), our AI-powered sales productivity platform at wingman.zone. Please read this policy carefully.
1. Information We Collect
Account Information
When you create an account, we collect your name, email address, and authentication credentials managed through Clerk, our identity provider.
Call Data
We process call transcripts and audio files you upload. This data is used solely to generate AI-powered analysis, summaries, action items, and follow-up email drafts for your benefit.
CRM Data
When you connect HubSpot, we access your contacts, deals, and activity timelines to sync call insights. We only read and write data necessary to provide CRM automation features.
Email Data
When you connect Gmail, we obtain limited OAuth permissions to send emails on your behalf. We do not read your inbox. We only send emails you explicitly approve through our interface.
Google Workspace Data: The use of raw or derived user data received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.
Payment Information
Payment data is handled entirely by Stripe. We do not store your credit card number or banking information. We receive subscription status and billing events from Stripe.
Usage Data
We collect information about how you use Wingman, including pages visited, features used, and error logs, to improve the service.

- Provide, operate, and maintain Wingman
- Process call transcripts with AI to generate insights and recommendations
- Sync data with your connected CRM (HubSpot)
- Send follow-up emails through your connected email account (Gmail)
- Process payments and manage your subscription through Stripe
- Send transactional emails (receipts, alerts, onboarding)
- Improve and develop new features
- Comply with legal obligations
3. Third-Party Services
We share data with the following trusted third parties to operate our service:

4. Data Retention and Deletion
We retain your data for as long as your account is active. Call transcripts and analysis are retained for 12 months by default, after which they are automatically deleted.
You may request deletion of your account and all associated data at any time by contacting us at support@nomadxlabs.com. We will process deletion requests within 30 days.
5. Your Rights
You have the right to:
- Access — request a copy of all data we hold about you
- Correct — update or correct inaccurate personal information
- Delete — request deletion of your account and all data
- Export — receive your data in a portable format (JSON/CSV)
- Restrict — limit how we process your data in certain circumstances
- Object — object to data processing based on legitimate interests

6. Cookies
We use essential cookies to operate the service (session management, authentication). We use analytics cookies to understand usage patterns and improve Wingman.
You can disable non-essential cookies in your browser settings. Note that disabling cookies may affect the functionality of Wingman.
7. Security
We implement industry-standard security measures including encryption in transit (TLS), encryption at rest for sensitive data (AES-256-GCM), access controls, and regular security reviews. However, no method of transmission over the Internet is 100% secure.
8. Children's Privacy
Wingman is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children.
9. International Data Processing
NomadxLabs processes data in the United States. By using Wingman, you consent to the transfer and processing of your data in the United States. We take appropriate measures to ensure your data is treated securely and in accordance with this Privacy Policy.
10. California Privacy Rights
If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA). You have the right to know what personal information we collect, request deletion, and opt out of the sale of personal information. We do not sell personal information.
